Planning professional headshots for your entire company sounds simple—until you try to coordinate calendars, get employee buy-in, and find a photographer who can make everyone look good. Whether you’re a marketing director, executive assistant, or team leader, the process doesn’t have to be overwhelming. With a bit of upfront planning and the right photographer, you can pull off a smooth and successful headshot day that reflects your brand at its best.

Here’s everything you need to know.

Not all photographers are equipped to handle on-location team headshots. You need someone who can bring the studio to you—lights, backdrop, posing guidance, and all.

Look for a photographer who:

The Ultimate Headshot Day Checklist

Want to avoid chaos on photo day? Here’s how to prepare:

1. Decide on the Right Photographer: Choosing a photographer who specializes in corporate headshots sets the tone for a smooth project.

Look for consistent lighting and style, a mobile studio setup, and clear communication about scheduling and delivery. The right fit means less stress on shoot day and results that match your brand.

2. Choose a location: A quiet room with a door, large enough for a backdrop and lighting setup

We’ve set up in conference rooms, break rooms, large open areas, warehouses, larger offices, and even hallways. A large private room is ideal, but let us know what works best for you.

Also, note the lighting in your preferred location. If you have hard sunlight coming in during the time of your headshot session, we’ll likely bring a different setup vs. if it’s not streaming sunlight in the area we’re shooting in. We have different setups for larger or smaller areas and different lighting scenarios, so visit with us ahead of time about your space so we can be prepared.

Here’s what we like, but check with your photographer to see what their specific needs are in regards to shooting space:

  • Preferred space – 10 x 15 ft (we can work in smaller areas, but this allows ample room for the best lighting, camera distance from faces, and backdrop.
  • Lighting – Windows are fine as long as the light is filtered. Whenever possible, we also like to be able to turn off or work between overhead lighting. If harsh sun is coming in during the headshot time, it can make people squint and cause weird lighting in the images. Rooms with shades are fine to help control the sun. If a location and time with hard sunlight or always-on overhead lighting is the only option, let us know ahead of time so we can bring equipment to mitigate the effects.
  • Access to Electricity and Wifi – In order to quickly and efficiently manage headshots and instant gallery delivery, we need access to your wifi and power. Many photographers don’t do instant delivery, so they may not have the same requirements for wifi and electricity.


3. Create a schedule: Depending on your workday and schedule, Assign time slots for each person (10 minutes is standard for smaller groups or about 3 minutes each for larger groups, but we can adjust to what you need for your group.)

Some teams prefer a come and go approach, without set schedule times while we are there. Other groups find having a specific appointment time for each person or group works best. It depends on your team and the structure of your day. We can help you with an easy scheduler to give everyone their own appointment (smaller teams) or group appointments can help larger teams keep traffic flowing efficiently during the day without creating long wait times. 4. Send reminders: Email your team ahead with times, wardrobe tips, and expectations

You’ll want to let participants know ahead of time when headshot day is for the team. Make sure to give them as much notice as possible, to work around meetings and other commitments they may have on Team Headshot Day. That way, they can be prepared and come looking their best when they step in front of the camera. 5. Provide a prep area: A mirror, lint roller, and comb go a long way

*Headshot Pros AZ will bring everything from mirrors, lint rollers, combs (new ones – don’t share combs – that’s yucky), hair spray, blotting paper and powder… pretty much anything needed for a quick touch up (see image below). If you’re not in the Phoenix area, be sure ask your photographer what they provide so you can plan to supply any needed items for a better headshot experience for your crew.

6. Assign a point person: Someone to greet the photographer and direct team members

*It’s super helpful to have a point person from your organization, whether that’s you or someone else you’ve assigned, to help the photographer get checked in and in the right place to set up, make sure they have what they need as far as electricity and wifi, etc., and to help get your people in the right place at the right time.

Pro Tips to Make It Even Easier

  • Group people by department or team: If you have a very large team or are working with multiple departments, booking by department will make it easier to get the right people in the right place at the right time.
  • Pad your schedule: Add 5–10 minutes every hour to account for delays or no-shows. (If Headshot Pros AZ is doing your headshots, we’ll take care of this part for you.)
  • Offer retakes: Let employees know they can review their photo and retake it if needed (If your headshot photographer is offering instant gallery delivery like we do, it’s easy for staff to review their photos immediately to choose a favorite, or jump back in front of the camera for a different shot if needed.)
  • Include a few leadership portraits: C-level team? Give them a few extra minutes for different poses or expressions. (We can block out special times for C-level team to provide them with longer appointments, a different setting, or a group shot. Let us know what you need.)

What Happens After the Shoot?

A great photographer will handle post-processing and file delivery so you don’t have to chase anything down. You should receive:

  • Image proofing (for example, we provide a private gallery to each participant to select their favorite image for retouching immediately after their session in most cases. Other photographers will often at least provide a digital gallery of images a week or so after the session.)
  • File names that match employee names (Files direct from the camera just come with a number, so if files aren’t renamed, it can be hard to find what you’re looking for.)
  • Digital files uniformly cropped (request ahead of time if you need a specific crop)
  • Easy delivery of files (We deliver the final headshots to each participant, and you’ll get one link to download all the final renamed files. Other photographers may just give you a giant gallery that you need to sort through and send out to each person, so be sure to ask how they deliver files.)

Make sure to ask about timelines—most pros can turn around team sessions within 1-2 weeks.
